Learn How Payroll Templates Simplify Processing

Payroll processing often requires managing employees with different pay rates, union rules, deductions, and job-specific requirements. In Trimble Vista Payroll, payroll templates help simplify this process by allowing organizations to standardize payroll settings while still supporting job-specific exceptions.

What Are Payroll Templates?

In Trimble Vista, payroll templates are used with Crafts and Craft Classes to override standard payroll settings for specific jobs. Rather than manually updating pay rates, deductions, or liabilities each time an employee works on a particular project, templates apply the correct payroll rules based on the assigned job.

Payroll templates create consistency while reducing manual data entry and the risk of payroll errors. They are especially useful when employees perform work under different contracts, wage rates, or union agreements.

🔹 Why Use Payroll Templates?

Payroll processing often involves managing:

  • 💲     Different pay rates
  • 👷     Union rules and agreements
  • 📋     Employee deductions/liabilities
  • 🏗️     Job-specific payroll requirements

When Should You Use Payroll Templates?

Here are three common scenarios where payroll templates provide significant value:

1. Prevailing Wage Projects

A contractor wins a government-funded project that requires prevailing wage rates. Instead of manually adjusting employee pay each pay period, a payroll template automatically applies the correct wage rates and payroll rules for that project.

2. Union Employees Working Multiple Jobs

Union employees may have different classifications or negotiated rates depending on the job site. Payroll templates ensure the correct pay rates, deductions, and liabilities are applied whenever time is entered against that project.

3. Job-Specific Payroll Requirements

Some projects require unique payroll settings, such as additional earnings, special deductions or liability overrides, and in some cases project-specific overtime rules. Templates allow these exceptions to be applied while leaving the employee's standard payroll information unchanged.

How to Use Payroll Templates

Follow these basic steps to begin using payroll templates in Trimble Vista:

1. Set up the required PR Crafts, define the craft

2. Set up the PR Craft Classes, define the classes and standard pay rates for each

3. The employees’ default craft and class should be assigned to the employee in PR Employee > Info Tab

4. Create a payroll template in PR Template, create the template ID and description

5. Associate the PR Template to the PR Craft in the PR Craft Template.

Override effective dates, overtime, reciprocal agreements, add-ons, deductions, or liabilities only when needed.

When adding a craft template, it automatically uses all of the standard craft's add-ons, deductions, and liabilities. A craft template also uses all of the standard classes for that craft, each with its own pay rates, add-on overrides, and deductions/liabilities. Only the elements that must be overridden will need to be maintained in PR Craft Templates.

6. Set Up PR Craft Class Templates

Override pay rates, add-ons, deductions, or liabilities for a specific Craft Class/Template combination if needed, you can use the Pay Rates tab in PR Craft Class Templates to override pay rates for the craft class

7. Assign the PR Template to JC Jobs or PM Projects Craft Template

The payroll template is referenced on the job, so payroll processing uses the template overrides

Vista applies the payroll template, ensuring the correct payroll rules are used for that project.

Payroll templates in Vista help payroll administrators reduce repetitive setup, maintain consistency across projects, and improve payroll accuracy. By using templates, companies can automate project-specific payroll rules, minimize manual adjustments, and ensure employees are paid correctly regardless of the project they are working on. This approach is particularly valuable for contractors managing union labor, prevailing wage jobs, and multiple payroll scenarios across active projects.
